Volunteer Positions and Descriptions
Every Player should provide a Volunteer!
Edgemont Basketball Association is a non-profit volunteer organization. The number of players accepted each year is limited by the number of gym times available to us and to the number of volunteer coaches and administrators available. In seasons where registration exceeds the number of teams available, priority is given to families who have volunteered for EBA in the past, and then on a first come first serve basis.
This year we will be setting up a volunteer matrix at Registration as per Soccer. There are a set number of volunteers required per team, and then many other volunteer positions available for the Association in general. Parents will be asked to sign up for their volunteer position(s) before their application is accepted at the Registration Table. On-line registrants will be contacted by the Volunteer Coordinators to finalize their volunteer position, as the on-line system will only be able to take your request - it can not check if the positions are all filled. Volunteer Coordinators will also follow-up with teams after coaches and assistant coaches are determined to re-assign those parents who did not end up coaching a team.
If you coach or assistant coach a team, or sit on the Executive, this will be your only volunteer job required, regardless of how many children you have registered in the program.
Positions Available
At the Team Level:
| Head Coach |
- this position will be determined by Team after the Evaluations are complete
- all coaches are expected to meet with the Evaluation Coordinator, assist with evaluation process and help determine the teams.
- coaches run one practice a week plus coach one game most Saturdays.
- all coaches must pass a POLICE check.
- all A and B1 coaches must have their Level 1 coaching certification in case their team qualifies for the Provincials. EBA will assist the coach in achieving this during the year if they do have the certification. Preference may be given to those coaches who already have their certification.

- one to two per team

| Team Manager |
- one per team
- assist coach as required with administrative responsibilities such as team communications (phone calls - emails), organizing rides, collecting team merchandise orders / monies and distribution of same, picking up team photos for distribution, maintaining first aid kit inventory, ice packs etc.

| Team Wind-up Party |
- two per team
- discussing and arranging a wind-up function with the Team & Coaches and Parents. Usually held at the end of the season. Communicate the wind-up details to the players / parents/ coaches of the team.
- EBA will provice up to a $50 subsidy cheque for each registered EBA Team. The cheque to be applied towards a Team wind up event to offset incurred costs. Wind-up subsidy requests are to be made through the EBA Executive and must include: Age Group, Team Name and who the check should be made out to.

| Uniform Coordinator |
- one per team
- responsible for picking up, distributing and collecting clean uniforms to the Team responsible for collecting, holding and returning uniform deposit cheques from all team players assigned a uniform ( jersey and shorts)
- responsible for documenting who has which uniform and shorts
- responsible for forwarding uniform deposit cheques to EBA Treasurer for all non-returned uniforms
- responsible for coordinating and reassigning Team uniform sizing changes (if required)

| Scorekeepers/Timers |
- ALL parents are expected to take turns doing these jobs at the games.
Non-Volunteer fee payment does not exclude you from this responsibility. |
At the Assocation Level:
Age Group Coordinators (12 volunteers) |
- two coordinators per age group ( 1 for Boys, 1 for Girls / age group)
- attend Age Group Coordinators meeting
- organize evaluation for your assigned age group
ensure at least 2 evaluators for each group of ten players attends each night of player evaluations (EBA will try and use Evaluators from a different age group)
- using Age Group Evaluations Assistants, contact all players regarding evaluation dates, times and gym locations
- collect and collate player skills evaluation lists from all Evaluators following each night of player evaluations
- ensure players are given a fair and objective evaluation
find coaches for all teams with assistance from EBA Evaluation Coordinator and EBA Executive (if required)
help distribute coaches across the teams
- provide Head Coaches for each team in age group with player roster listing
- help resolve issue of player placements
- help resolve issues between teams and coaches

| Evaluators |
- two Evaluators (minimum) required for every 10 players attending evaluations
- Evaluators are commonly Coaches. Evaluators should not be evaluating their own children or the age group in which they will likely be coaching for the season. Evaluators will be notified what age group they will be evaluating.

- complete a fair and objective player skills evaluation using prescribed EBA evaluation form. Place your name on the completed form and return the form to the Age Group Evaluations Coordinator

| Registration Event Assistants (12) |
- twelve volunteers are required
- to help with the walk-in registration events (held in June of the following year )
- assist checking registration forms for completeness
- assist with volunteer assignment tables
- registration application & payment collectors

Photo Coordinator (1) |
- one coordinator required
- find photographer with assistance and input from EBA Executive
- book team photo sessions (photographer and venue - Edgemont Community Centre)
- organize and schedule team photo session and photo order forms
- attend photo sessions and assist with photo shoot coordination
- when photos do arrive: notify all teams that photos are ready to pick up from Edgemont Community Centre

| Security Form Coordinators (1-2) |
- one to two volunteers required
- complete 1 time security training orientation session (1hr) at Calgary Police headquaters. This would allow you to sign off on completed forms and submit those forms to Calgary Police Services on behalf of EBA.
- distribute blank Police Information security forms
- ensure all team coaches, assistant coaches and manager complete security forms
- update and forward a summary of approved Coaches / Managers to EBA President / VP
- ensure confidentiality of all security form information

Coaches Wind-up (Thank You) Dinner (4) |
- four volunteers required
- organize caterer, music, book room at Edgemont Community Centre
- purchase and get donated door prizes
- send out invitations and manage RSVP's with caters and supplies
- assist with event set-up, service and clean-up

| Coaching Development (1) |
- one volunteer required
- email all coaches with information re player camps and clinics that coaches can then pass along to their team
- provide information, links and clinic / certifiacation data to the EBA Webmaster for inclusion on website

| Edgemont Community Association Board Rep (1) |
- one volunteer required
- as of 2006, it is a requirement to provide a representative on the ECA Board if we want to continue to receive discounted rates for the gym.
- this representative is required to attend 10 meetings, on a Monday night from 7:30-9:30pm. No board work is required.
- the representative is also responsible for liaising with the Office to help provide basketball volunteer names and contact information for the Community Volunteer Appreciation Dinner.

| HOSTING for Provincials (6) |
- REQUIRED for the 2010- 2011 SEASON.
- Calgary will be hosting the Provincials next year (2010/2011) and CMBA would like EBA to provide volunteers to HOST one school that will be used during the tournament - on the 3rd Friday night and Saturday in March. Hosting a facility includes selling programs, keeping the gym clean of litter, sweeping floor between games, arranging for scorekeepers etc.
- Need up to 6 volunteers to take shifts; one person needs to organize volunteers and liaise with CMBA to determine final responsbilities, etc.

CASINO Volunteers (10) |
- ten volunteers required
- Edgemont Community Association and/or Calgary Minor Basketball Association (CMBA) will be running another casino in the fall or spring. EBA is required to provide volunteers to help out in various roles.

CMBA Volunteers (1 - 3) (optional) |
- EBA can optionally provide volunteers to sit on CMBA committees. This year, CMBA is looking for:
- rules committee representative (optional - meet about 3 times a year to review suggested rule changes and make recommendations to CMBA Executive)
- discipline committee representative (optional - meet about 3 times a year to discuss issues that have come up)

At the Executive Level:

- attend CMBA meetings
- liaison with CMBA and other basketball communities
- review and approve imports, and transfers between CMBA communities
- find volunteers as needed for CMBA and EBA Basketball
- handle disciplinary problems with parents, coaches, and players
- make process changes to improve EBA Basketball
- chair meetings
- represent EBA Basketball to external bodies
- attend executive meetings

- maintain information for on line registrations
- receive in person registrations and enter data on-line
- collect money, birth certificates, and registration forms and waivers
- answer questions re registration
- maintain data base of EBA players and CMBA numbers
- provide coordinators with list of players for tryouts
- provide CMBA with lists of players, teams and coaches
- obtain cheques for team registrations and submit to CMBA
- liaison with CMBA regarding registrations
- verify "kids sport" subsidy forms
- attend executive meetings

Equipment Coordinators (2) |
- one to two volunteers required
- organize and ensure quality uniforms and pinnies for all teams
- ensure quality balls, first aid kits, ball bags and other required equipment for all teams
- distribute equipment each September
- ensure all equipment is returned in March / April
- order new equipment as required
- assist coaches with equipment needs throughout the year
- attend executive meetings

- find gyms wherever possible
- liaison with City of Calgary regarding gyms
- books gyms with the city or other sources
- provide gym schedule for tryouts in September and December (Juvenile and Junior)
- provide gym schedule for all teams through out the year
- advise coaches when gyms are not available
- provide coaches with complete listing of gym schedules

- after Teams are established, check that all parents have an assigned volunteer role and are clear about their duties.
- review all on-line registrants and assign volunteer duty.
- ensure volunteers have all information needed to do their job
- at the end of the season, check with Coaches and Executive if volunteers have met obligations and recommend which volunteer cheques should be cashed.
